610 – PERSONNEL FILES

Employee personnel files may be either virtual (contained in the HRIS database “Avionte”) or in hard-copy files (if they were hired in years prior to 2019). The contents may include the following: job application, job description, resume, records of participation in training events, salary history, records of disciplinary action and documents related to employee performance reviews, coaching, and mentoring. Full procedural detail of the contents and filing requirements can be found on the Dispatch.

Employees are responsible for notifying their Supervisor and/or the Payroll and Human Resources departments when there are changes of name, address, telephone number, marital, dependent or tax status. The Address Change form can be found on the employee website. Employees should contact their Supervisor for all other changes.

Personnel records are kept highly confidential and are not available to anyone outside of the Company unless an authorized release is signed by the employee and the release is to an authorized governmental agency or is required by law. Employee access to their personnel file varies by state. To view their file, an employee must contact their Supervisor or Human Resources department. In most cases, employee files will be kept for seven years (from date of termination) at which point the file will be destroyed.
